About Authentica Fulfillment
Authentica Fulfillment is a third-party logistics (3PL) provider managing complete warehouse operations for e-commerce brands across Europe. Their clients hand over everything — inbound stock, storage, picking, packing, dispatch — and Authentica handles it all. Serving 40 clients across categories from clothing and accessories to pet food and homeware, the company has grown ~20% year-over-year and continues to scale.
The Challenge
Fragmented processes and zero data infrastructure were blocking growth
Forty clients, a busy warehouse, and no central place for the data that ran any of it. Four problems compounded each other:
No data infrastructure — at all
Before Keboola, any analysis meant writing ad hoc SQL directly against the production database. Results were one-off, disconnected, and impossible to combine across systems.
Workers managed without performance data
With no structured tracking of picking, packing, replenishment, or receiving, shift managers had no way to monitor productivity or rebalance workloads in real time.
Invoicing consumed up to 6 working days per month
Preparing client invoices meant manually downloading data from the WMS, pasting it into individual Excel files per client, and running calculations by hand — a process prone to errors and impossible to scale.
Data lived in silos
The production WMS database, Helios ERP, and dozens of Google Sheets had no connection to each other and no single place to bring it all together.
Every new client added more manual work — more spreadsheets, more invoice preparation, more places where small errors could hide. The model worked, but it could not keep scaling with the business.

The Solution
A unified warehouse intelligence platform — connecting every operational and financial system to a single source of truth
Centralized data warehouse as single source of truth
Keboola connects Authentica's WMS database, Helios ERP, and Google Sheets through a single platform. All data lands in BigQuery with a unified schema, transformed through layered Python and SQL logic into analytics-ready tables.
Real-time operational dashboards — run by one analyst
A Streamlit application hosted directly in Keboola gives shift managers live visibility into individual worker performance across picking, packing, replenishment, and goods receiving. Power BI dashboards surface SLA fulfillment rates, financial margins per client and service, and ERP-connected financial reporting — all automated, no manual pulls required.
End-to-end automated invoicing
Keboola now handles the entire monthly billing cycle: the service price list syncs automatically from Google Sheets, billable activity is aggregated per client across all service categories, and a Python transformation delivers pre-calculated billing files directly into each client's Google Sheet. When prices change, the update flows through automatically — the accountant never touches a spreadsheet manually.
The Impact
Fully automated operations — powered by data everyone can actually use
Keboola delivered measurable financial and operational improvements across Authentica's entire warehouse operation — from individual shift managers to the CEO.
67%
Invoicing fully automated
Monthly billing dropped from 6 working days to 2. The accountant receives complete, correct billing files — no downloads, no Excel.
2 days
Reports in 2 days, not 5
Reports that previously required 5 days of data wrangling before visualisation could even begin now run end-to-end in 2.
Real-time
Live worker performance
Shift managers monitor picking, packing, replenishment, and receiving throughout the day and rebalance workloads on the floor.
40
SLA visibility per client
Same-day dispatch cutoffs tracked per client, per window — automatically. No averaging, no blind spots.
